Retirement Records Database Now Open to You

Human resources and benefits professionals can now access the Retirement System’s database via the Internet.  The database will provide employers with direct access to information on their active employees like years of service, date of entry into the Retirement System, total retirement contributions, current year retirement contributions, and documents related to the employee’s retirement.

“Opening our database to all human resources and benefits professionals is one step on a long journey that will allow us to better connect with our employees,” said Michael Williamson, director of the Retirement Systems Division.  “Our human resources and benefits professionals do an outstanding job serving our members and we want to do everything we can to make it easier for them.”

To access the database, each employer must sign up with the Retirement System and receive a password through the following process:

1) Send an email requesting database access to the Employer Education Service Unit (EESU) at EESU@treasurer.state.nc.us. The email should include the employer name, employer code and a contact name with the email address and phone number for that contact.

Please note: Access will only be granted and assigned to one representative from each employer. You may choose to share the password and user id, but only one user name and password can be assigned.

2) The EESU will process the request.

3) The EESU will contact you to confirm the request and your contact information before releasing a password and user id to you.

4) The EESU will contact you by telephone to walk you through the application and to answer any questions you may have.

5) Once granted database access, please email EESU@treasurer.state.nc.us if you encounter any technical problems.

While access to the current database is a significant improvement, electronic interface with the Retirement System will take a leap into the technology age over the next few years.  The Retirement System began a three-year overhaul of its information technology systems in May, which will provide much easier, online access to retirement records for employers and employees when completed.

The initiative, called in the Integrated Retirement Systems Project, will replace the current database by integrating six antiquated mainframe systems into a single cohesive IT platform.   Employees, retirees and human resources and benefits professionals will be able to perform many retirement functions online, 24 hours a day once the new system is in place.
